Clinicly considers the careful handling of your business data and the personal data of end users to be of great importance. In this privacy statement, we explain which business and personal data we process, how we handle this data, and which rights you have in this context.

Clinicly is the data controller for all processing activities. In this statement, we clarify what business and end-user personal data we collect, how and why we use it. We advise you to read this statement carefully. We adhere to the requirements of privacy legislation, which means:

Business data and Purposes

The Website
When using the website www.clinicly-ai.com, you may enter or leave certain business data. We handle this data with care and in accordance with the law.

When registering as a client, your company will be required to provide business information. The data we collect through this service includes:

- Company name
- Chamber of Commerce (KVK) number
- Company address details
- Business bank account number
- Company and reception email addresses
- Company logo
- Information on business opening hours
- Information about the emergency dental service you are affiliated with
- Payment details
- Proof of identity

These details are required to become a client of Clinicly and are used to create a contract between Clinicly and your company.

Your company logo may be used within the chatbot to align the visual design with your practice’s branding. Your logo and company name may also be used for marketing purposes by Clinicly to attract new clients.

Opening hours and information about your affiliated emergency dental service are used to optimize our software so that it can respond appropriately to your end users.

Your proof of identity is used solely for applying for a WhatsApp Business account.

End User Personal Data and Purposes

The contract is concluded between Clinicly and your company. The software is provided to your company (e.g., Dental Practice X). There is no direct agreement between Clinicly and the end users of the software.

The software collects personal data from your end users via web chat on your website and/or via WhatsApp (linked to your phone number). This data is sent to the reception email address you provided. The data is only transmitted when the end user voluntarily interacts with the software for the following reasons:

- To register as a patient at your practice
- To deregister as a patient
- To cancel an appointment
- To schedule an appointment

The following personal data of end users may be shared with your company:

- Email Address
- Identity number registered in your company software

With Whom Does Clinicly Share Personal Data?

Data Sharing with Third Parties
Your business data and the personal data of your end users are not shared with third parties for commercial purposes. We do not use end user data for any purpose other than what is intended by our clients.

Clinicly may engage third-party service providers as part of delivering its services (e.g., software hosting). These third parties act as processors on behalf of Clinicly. We have agreements in place with these processors to ensure they handle personal data securely and in accordance with the law.

Clinicly will not disclose your business data or your end users’ personal data to any third party not engaged in supporting the intended software usage, unless:

- We are legally obligated to do so;
- You have given explicit consent;
- We have a legitimate interest to do so (e.g., in case of misuse or fraud).

In the event of suspected misuse of our software, Clinicly may disclose data to the appropriate legal authorities.

Security of Business and End User Data

We take appropriate technical and organizational security measures to prevent misuse, loss, unauthorized access, unwanted disclosure, or unauthorized modification of business data and end-user personal data. Subprocessors

To deliver our services, Clinicly works with several third-party partners. Some of these partners process your business data on our behalf. Under the General Data Protection Regulation (GDPR), these partners are considered processors or subprocessors. We have signed agreements with these parties to ensure proper handling of your data. Google Analytics
